Terms & Conditions

DJ Sime – Terms and Conditions

These Terms and Conditions are designed to protect both DJ Sime and the Client.

By making a booking, you agree to our Retainer and Cancellation Policy, Final Payment Terms, Travel and Access Charges, Equipment Liability Rules, Force Majeure Policy and Performance Policies.

These Terms apply to bookings carried out across Yorkshire and any other locations agreed with the Client.

1. Booking, Retainer & Cancellation Policy

Retainer

The initial booking fee, also referred to as the retainer, secures your specific event date.

The retainer is non-refundable once the booking has been confirmed.

Cancellations

If you cancel your booking with more than 14 days' notice, a credit note equal to the value of the retainer will be issued for use towards a future DJ Sime booking.

The replacement booking will be subject to availability.

Date Changes

Requests to move your booking to another date must be made with at least 14 days' notice.

All date changes are subject to DJ Sime's calendar availability.

A requested replacement date cannot be guaranteed.

2. Final Payment & Performance

The outstanding balance for your booking must be paid in full at the start of the event, immediately after the DJ equipment has been set up.

Payment must be made in cash, unless another payment method has been agreed in writing before the event.

If the outstanding balance is not paid as agreed, DJ Sime reserves the right to withhold the performance until payment has been received.

3. Travel, City Centre & Access Charges

Standard Travel Surcharge

A travel surcharge of between £20 and £60 applies to venues located more than 20 miles from Leeds City Centre.

The amount charged will depend on the distance and location of the venue.

City Centre Surcharge

A flat £50 City Centre Surcharge applies to bookings in Leeds, York and certain other major city-centre locations where additional loading, unloading or parking difficulties are involved.

Access Surcharge

An additional access charge of between £10 and £20 applies where the DJ equipment has to be carried to an upper floor and suitable lift access is not available.

Clients should advise DJ Sime in advance of any stairs, difficult access, parking restrictions or loading restrictions at the venue.

4. Safety & Equipment Liability

The Client is responsible for ensuring that DJ Sime's equipment is not damaged, moved, interfered with or operated by guests, venue staff or other unauthorised persons.

Where DJ equipment is damaged by the Client, the Client's guests, venue staff or another unauthorised person attending the event, the Client will be responsible for the cost of the damage.

This may include the full cost of professional repair or, where repair is not possible, the replacement cost of the damaged equipment.

Normal wear and tear is excluded.

5. Force Majeure & Liability

DJ Sime will not be held responsible for a failure or delay in performing where this is caused by circumstances genuinely outside reasonable control.

Examples may include:

  • extreme weather;

  • serious road closures;

  • major transport disruption;

  • venue power failure;

  • venue closure;

  • accidents;

  • emergencies; or

  • other circumstances that could not reasonably have been prevented.

Where an event cannot proceed because of circumstances outside DJ Sime's reasonable control, liability will normally be limited to a refund of payments received, excluding the initial booking retainer.

Any refund or retained payment will remain subject to the Client's applicable statutory rights.

6. Performance Policies

Music Policy

DJ Sime will always aim to prioritise the Client's music requests while also responding to the audience and using professional judgement to keep the dancefloor active.

The final music selection and running order may therefore be adjusted during the event according to crowd response.

Playlists

Any specific playlists or important song requests must be supplied at least 7 days before the event.

Music requests can be sent by:

  • streaming link;

  • text message; or

  • email.

Providing playlists in advance gives DJ Sime sufficient time to prepare for the event.

Overtime

Any additional playing time beyond the originally agreed finishing time must be agreed with DJ Sime on the night.

Additional playing time is subject to DJ availability, venue permission and payment of the agreed additional charge.

Where extra playing time is arranged and paid for digitally on the night, a £10 administration charge may apply to arranging the additional service.
